How to choose a holiday property manager on the Costa del Sol: 7 key questions

You own a property on the Costa del Sol and you're considering handing it over to a holiday management company. It makes complete sense: outsourcing the management frees up your time, increases occupancy and raises the standard of the guest experience. But not all management companies operate the same way — and making the wrong choice can cost you money, cause unnecessary stress and, in the worst case, create problems with your guests or the booking platforms.

Here are the 7 questions you should ask before signing any contract.

1. How many properties do they currently manage?

The size of the portfolio is the first indicator of maturity. A company managing very few properties may not have the processes or team needed to respond efficiently. A company with hundreds of properties may have lost sight of you among the volume.

The ideal is a manager with enough structure to guarantee the service, but close enough to know your property by name, not by code.

2. What do the reviews say?

Guest reviews on Airbnb or Booking.com tell you how they treat the people staying there. A clean, consistent track record over years is worth more than any sales pitch.

3. Do they manage any properties they own themselves?

This question — which few people think to ask — reveals something fundamental: if the manager has properties of their own in holiday rental, they know both sides of the coin. They know what it's like to wait for the end-of-month report, to feel uncertain about whether the pricing is right, or to worry about the condition a guest leaves the apartment in.

A manager who is also an owner makes decisions with greater insight. They don't just execute; they understand the impact of every decision because it affects them personally too.

4. How do they handle transparency and communication about bookings?

Entrusting your property to a third party doesn't mean losing control. A good manager should give you real-time access to the booking calendar, notify you of every new confirmation and send you a clear monthly report covering income, occupancy and guest ratings.

Ask what tool they use to manage bookings and whether you have owner access. Ask what information you receive each month and in what format. Vagueness here — woolly answers, aggregated data with no detail — is a bad sign.

Transparency shouldn't be optional; it should be the default.

5. How quickly do they respond — to you and to guests?

Response time is an objective, measurable fact. On holiday rental platforms, replying within the hour is often the difference between securing a booking or losing it to a competitor. And when you, as an owner, have an urgent question, you don't want to wait days for an answer either.

Before signing up, test it: send an enquiry and measure how long they take to reply. It's the most honest test you can run.

6. Do they use professional management tools: PMS and dynamic pricing?

Fixed rates are one of the most common mistakes in holiday rental management. The Costa del Sol market fluctuates enormously depending on the season, local events, bank holidays or competitor occupancy. A property on a flat rate is leaving money on the table in peak season and may be overpriced in low season.

A professional manager uses dynamic pricing tools that automatically adjust rates based on real market demand. Ask which tool they use and how prices are updated: daily? Automatically? Based on what criteria?

Just as important as dynamic pricing is the use of a PMS (Property Management System). A PMS is the central platform that connects the apartment to all distribution channels simultaneously — Airbnb, Booking.com, Expedia, Vrbo, Google Vacation Rentals and others — synchronising the calendar, pricing and reservations in real time. Without a PMS, the manager works platform by platform, with the risk of double bookings, outdated calendars and limited presence on channels that could generate more occupancy.

Ask which PMS they use and how many platforms they distribute to. A manager who is well-equipped technologically is one who maximises the visibility of your property without you having to think about it.

7. Do they have a direct booking channel?

This is the most important question for your profitability as an owner — and paradoxically, the one asked least often.

The major OTAs (Airbnb, Booking.com) charge commissions of between 15% and 20% on every booking. They are essential platforms for visibility, but relying on them exclusively means giving away a significant slice of your income on every single reservation.

A manager with their own direct booking channel — their own website with a booking engine — can offer the same accommodation without that commission, increasing the net margin for the owner. Direct bookings also build a more direct relationship with the guest, with no intermediary involved.

Ask whether the manager has their own bookable website, whether they actively drive traffic to that channel and what percentage of their bookings come through it directly.

The checklist before you sign

Before committing to any holiday property manager on the Costa del Sol, run through these points:

  • How many properties do they currently manage?
  • Do they manage any properties they own themselves?
  • Do you have real-time calendar access and detailed monthly reports?
  • How quickly do they respond to an enquiry?
  • Do they use a PMS for multi-channel distribution? How many platforms are they on?
  • Do they use dynamic pricing tools? Which ones?
  • Do they have a direct booking channel with their own website?
